Job Summary:

The Construction Contract Administrator (Owner’s Representative) is responsible for overseeing and managing all contract-related activities during construction projects. Acting on behalf of the project owner, this role ensures that all contractual obligations are met, documents are maintained, and that both the owner and contractors adhere to the agreed terms. The contract administrator plays a vital role in managing relationships, ensuring compliance, and resolving disputes that arise during the construction process.

 

Key Responsibilities:

  1. Contract Management & Administration:
  • Manage and administer construction contracts between the project owner and contractors, ensuring all obligations are fulfilled.
  • Monitor the compliance of all parties with contract terms, ensuring adherence to schedules, budgets, and quality standards.
  • Maintain detailed records of contract documents, amendments, and correspondences.
  1. Contract Documentation & Processing:
  • Ensure that all project-related contracts, purchase orders, subcontracts, and change orders are properly documented and tracked.
  • Prepare, review, and process contracts, subcontracts, and variations in accordance with owner policies and industry standards.
  • Collaborate with legal and procurement teams to draft, revise, and finalize agreements.
  1. Change Order Management:
  • Review and assess requests for change orders, ensuring validity and alignment with project scope and budget.
  • Coordinate with the project team and contractors on the approval or rejection of change orders.
  • Ensure proper documentation and record-keeping for all change order activities.
  1. Budget & Cost Control:
  • Monitor construction costs to ensure alignment with the contractual budget.
  • Review contractor payment applications, and process payment certificates for approval by the project owner.
  • Analyze costs related to change orders, claims, and disputes to ensure the project remains financially sound.

 

  1. Communication & Stakeholder Coordination:
  • Act as the liaison between the project owner, contractors, and other stakeholders regarding contract-related matters.
  • Ensure effective communication on project status, contract modifications, and issues requiring resolution.
  • Coordinate meetings between contractors and the project team to resolve issues, disputes, or delays.
  1. Claims & Dispute Resolution:
  • Identify, assess, and resolve claims and disputes between contractors and the project owner.
  • Work with legal advisors to prepare documentation for claims management and settlement.
  • Proactively manage risks and develop strategies to mitigate potential disputes.
  1. Contract Closeout:
  • Oversee the contract closeout process, ensuring all deliverables, warranties, and certifications are received and documented.
  • Review project completion documents, including as-built drawings, warranties, and final invoices.
  • Coordinate with the project team to ensure all contractual obligations have been met before the final project sign-off.
  1. Compliance & Risk Management:
  • Ensure compliance with local regulations, construction standards, and project-specific requirements.
  • Manage risks related to contract performance, ensuring proactive identification and mitigation of issues.
  • Collaborate with safety and quality teams to ensure the project adheres to required standards.

 

 

  1. Education:
  • Bachelor’s degree in construction management ( civil engineer are preferable), or related field (or equivalent experience).
  1. Experience:
  • Minimum of 5 - 7 years of experience in contract administration in the construction industry.
  • Familiarity with construction contracts such as AIA, FIDIC, and other industry-standard forms.
  1. Technical Skills:
  • Strong knowledge of construction contracts, laws, and regulations.
  • Excellent written and verbal communication skills.
  • Proficiency in contract management software (e.g., Procore, Primavera) and MS Office.
  • Strong attention to detail and organizational skills.
  • Ability to manage multiple contracts and priorities simultaneously.

Physical Demands:

  • Ability to work in an office environment and on construction sites as required.
  • Occasional travel to project sites for site analysis and client meetings.
